Job Description
AUIB is seeking a dynamic and experienced Administrative Assistant to drive its mission of ensuring efficient office operations and provide support to the Dean, faculty, and staff. In this pivotal role, the Administrative Assistant] will Administrative Support, Communication, Record Management, and Academic support, and event coordination. Key Responsibilities
1. Areas of Accountabilities: Manage daily office operations for the College of Business.
– Schedule and coordinate meetings, appointments, and events for the Dean and faculty.
2. Administrative Support: – Maintain office supplies and equipment.
– Draft, format, and distribute internal communications, reports, and memos.
– Serve as a point of contact for inquiries from students, faculty, and external visitors.
3. Communication
– Maintain effective communication with other departments and college offices.
4. Record Management – Organize and maintain digital and physical files, records, and databases.
– Assist in collecting and preparing documentation for reports and audits.
5. Academic Support – Assist faculty with class scheduling, course documentation, and exam coordination.
– Support students with academic forms, referrals, and general inquiries.
6. Event Coordination – Support planning and execution of college events, guest lectures, and student activities.
Ideal Candidate Profile
• Excellent verbal and written communication skills
• Strong organizational and time-management abilities
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
• Attention to detail and problem-solving skills
• Ability to work independently and as part of a team
Education and Experience
• Bachelor’s degree in Business Administration, Office Management, or a related field is required.
(An equivalent combination of education and relevant experience may be considered.)
• Experience:
At least 2 years of relevant administrative or office experience, preferably in an academic or professional office environment.
• Familiarity with academic environments and student-centered service is preferred
