Job Description

Role Scope

This position ensures that all key project documents from contracts to drawings, meeting minutes, and other critical information flow smoothly between teams, reducing delays and costly errors. The Document Controller plays a pivotal role in maintaining efficiency and clarity throughout the construction process.

Key Responsibilities

  • Verify that all documents comply with approved standards and regulations.
  • Receive, process, review, classify, and periodically update all incoming and outgoing project documentation (drawings, plans, correspondence, etc.), maintaining organized archiving in both paper and electronic formats. Assign document numbers and control versioning.
  • Ensure timely distribution of documents to meet project schedules.
  • Track pending documents and follow up with stakeholders until completion and closure.
  • Provide accurate, well-organized documentation for audits.
  • Scan, upload, and back up documents for secure storage.
  • Provide administrative and document-related support to the project team.
  • Prepare regular status reports on document control and workflow efficiency.
  • Schedule project meetings, notify relevant participants, and prepare Minutes of Meeting (MoM) with follow-up actions.
  • Submit purchase requests on behalf of project staff, obtain approvals, and follow through to completion.

Qualifications

  • Education: Bachelor’s degree in Business Administration, Engineering, or a related field.
  • Experience: 2–4 years in document control or administrative work, preferably in the construction sector.
  • Languages: Arabic (fluent) and English (excellent for international communication).

  • Effective communication across all relevant departments.
  • Confidentiality and data integrity.
  • Flexibility, openness to change, and the ability to perform under pressure.
  • Problem-solving and proactive follow-up.
  • Proficiency in MS Office (Word, Excel, Outlook) and document management systems (e.g., Primavera).
  • Familiarity with cloud storage platforms (e.g., Google Drive, Dropbox) and construction software such as AutoCAD.
  • Knowledge of document control standards (ISO 9001, etc.).
