Job Purpose:

To assist the AP team in processing supplier invoices, preparing payments, and maintaining proper records. The role ensures accuracy in financial records and supports timely payment processing and vendor satisfaction.

Key Responsibilities

Invoice Processing
Receive, check, and scan invoices into ERP
Validate basic invoice fields (date, PO number, supplier name)
Track invoices pending approvals and follow up when needed

2. Payment Preparation
Prepare and organize documents for scheduled payments
Print checks, prepare bank transfers, or upload files for approval
File paid invoices and ensure remittance advice is stored

3. Vendor Account Support
Assist with reconciliations by comparing vendor statements to system balances
Report inconsistencies and help obtain missing documents from vendors

4. Filing & Documentation
Maintain up-to-date filing of all AP-related paperwork
Ensure that scanned and physical records are complete and labeled correctly
Required Qualifications & Skills

Diploma or Bachelor’s degree in Accounting or Business
1–2 years experience in accounting or AP
Familiarity with basic accounting concepts and ERP systems
Attention to detail and willingness to learn
Good organizational and communication skills
